Privacy Policy
Last updated: October 15, 2026
This policy explains what personal data FullClear collects when you use our websites (fullclear.win and dibs.fullclear.win) and our products, including Dibs, why we collect it, and the choices and rights you have. It is written to be read, not skimmed past. If anything is unclear, email [email protected].
1. Who we are
FullClear (“we”, “us”) is the data controller for the personal data described here. FullClear is operated by [OWNER: legal name of the individual or business that runs FullClear, and its country]. You can reach us about anything in this policy at [email protected].
2. Data we collect
When you sign in with Discord
Dibs uses Discord to sign you in. With your permission, Discord gives us:
- Your Discord account basics (the
identifyscope): your Discord user ID, username, display name and avatar. We do not request your email address from Discord. - Your membership in your guild's Discord server (the
guilds.members.readscope): your roles and nickname in the server linked to your guild, so Dibs can work out whether you are a leader, officer or raider.
If a guild leader adds the Dibs bot to their Discord server, the bot reads that server's list of roles so the leader can map them to Dibs roles. Dibs does not read your messages, direct messages, friends list or other servers' contents.
Data you and your guild put into Dibs
- Characters: names, classes and the gear you enter for each slot.
- Guild settings, loot rules, item requests and award decisions, including who made each decision and why.
- Raid log files uploaded by officers. EverQuest logs contain character names and can contain in-game chat from the raid window. Dibs extracts attendance and loot records from them. We keep the uploaded file for [OWNER: confirm: e.g. 30 days] so problems can be re-checked, then delete it and keep only the extracted records.
Because logs and guild records name other players' characters, guild leaders and officers should only upload data for their own guild's raids.
Billing data
Subscriptions are sold by Creem, which acts as our reseller and merchant of record. Creem collects your payment details, billing name, email address and country, and processes them under its own privacy policy. We never see or store your full card number. Creem tells us the subscription's status, plan and renewal date, plus a customer ID and the billing email, so we can switch your guild's access on or off and answer billing questions.
Technical and support data
- Connection data: IP address, browser type and request times, kept in server logs for security, rate limiting and debugging.
- Audit records: which account did what in a guild (for example, approved an award), shown to that guild and kept for its history.
- Support emails: whatever you send us when you ask for help.
3. Cookies
Dibs sets one strictly necessary cookie to keep you signed in. Our hosting and security provider, Cloudflare, may set strictly necessary security cookies to block abuse. We do not use advertising cookies, tracking pixels or third-party analytics, so we don't show a cookie consent banner. The marketing pages on fullclear.win set no cookies of their own.
4. Why we use your data, and our legal bases
For users in the EU, EEA and UK, our legal bases under the GDPR and UK GDPR are:
| Purpose | Legal basis |
|---|---|
| Signing you in, running your guild's loot rules, storing raids and awards | Performance of a contract (providing the service you asked for) |
| Managing subscriptions and access | Performance of a contract |
| Keeping the service secure, preventing abuse, fixing bugs | Legitimate interests (running a safe, working service) |
| Answering support requests | Performance of a contract, or legitimate interests |
| Keeping records we are required to keep | Legal obligation |
We do not sell your personal data, use it for advertising, or make decisions about you that have legal or similarly significant effects based solely on automated processing. (Dibs's rule engine awards in-game loot by your guild's own rules; it does not make decisions of that kind.)
5. Who we share data with
We share personal data only with service providers that help us run FullClear, under contracts that limit how they use it:
- Discord: sign-in and role lookups.
- Creem: payments, tax and invoicing, as merchant of record.
- Cloudflare: website delivery, network security and DNS.
- Hosting and backups: servers that run Dibs and its database ([OWNER: hosting provider name and region]), and encrypted backups stored with Backblaze B2 ([OWNER: bucket region]).
Inside Dibs, members of your guild can see guild data according to their role: for example, raiders see award reasons and their own history, and officers see requests. Other guilds cannot see your guild's data.
We may also disclose data if the law requires it, or to protect our users or the service from serious harm.
6. International transfers
Some of our providers process data outside your country, including in the United States. Where data from the EU, EEA or UK is transferred to a country without an adequacy decision, we rely on the European Commission's Standard Contractual Clauses (and the UK addendum) or another lawful transfer mechanism offered by the provider.
7. How long we keep data
- Account and guild data: while your account or guild is active. If a guild's subscription ends, its data stays read-only for [OWNER: confirm: e.g. 12 months] so the guild can come back, then it is deleted unless the guild asks us to keep it.
- Raw log files: [OWNER: confirm: e.g. 30 days] after upload.
- Server logs: up to 30 days.
- Billing records: as long as tax and accounting law requires (Creem keeps its own records).
- Backups: deleted data can remain in encrypted backups for up to [OWNER: confirm: e.g. 35 days] until they rotate out.
8. Your rights
Wherever you live, you can ask us for a copy of your data, to correct it, or to delete your account. If you are in the EU, EEA or UK you also have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased;
- restrict or object to our processing, including processing based on legitimate interests;
- receive your data in a portable, machine-readable format;
- lodge a complaint with your local data protection authority.
To use any of these rights, email [email protected] with your Discord username. We may ask you to confirm the request by signing in, and we reply within one month. Deleting your account removes your profile; award records your guild relies on keep the character name but are no longer linked to your Discord account.
You can also revoke Dibs's access at any time in Discord under User Settings → Authorized Apps. You will then be signed out of Dibs.
9. Children
Our services are not meant for children. You must be at least 13, and old enough to use Discord and to agree to data processing where you live (16 in some EU countries).
10. Security
We encrypt traffic in transit, keep each guild's data separated at the database level, restrict administrative access, and encrypt backups. No system is perfectly secure; if a breach affects your data, we will tell you and the relevant authorities as the law requires.
11. Changes to this policy
If we change this policy in a way that matters, we will update the date at the top and tell guild leaders in the app, or by email to the billing contact, before the change takes effect.
12. Contact
Questions or requests: [email protected].
